JOB TITLE: INTERN DOCUMENT MANAGEMENT AND PROCESS IMPROVEMENT

KEY RESPONSIBILITIES: 

Scope A (Document Management) 

The intern will be assigned to support in the Document Management process with the following key deliverables:

  • Document review exercise for BMS System documents, Operating Procedures (the intern will be expected to support other departments as assigned by Legal & Compliance HOD) and identify improvement actions.
  • Support on Design Flowchart and document conversion including formatting.
  • Support on Document Distribution (review and approval) via O365 Planner and Nitro.

 

Scope B (Records Management

The intern will be assigned to support in the development, rollout and implementation of Petrofac Malaysia Records Management process and procedure with the following key deliverables:

  • Establishment of Company Level Record Retention Schedule/policy that complies with regulatory and Petronas requirements.
  • Records verification, inventory review exercise and improvement activities (the intern will be expected to support other departments as assigned by Legal & Compliance HOD) and identify improvement actions.
  • Support on the CI Major Project - P2P (Disposal and Digitisation activity)
  • E-learning on Web-Based Inventory Guidelines, retrieval and archival process.

 

Scope C (Asset Modification Brownfield Project) 

The intern will also be assigned to assist in Brownfield projects that consists of the following assignments.

  • Support on the quality checks on documentation (incoming and outgoing) as per document control process between Company and Contractor (the intern will be expected to support other departments as assigned by CCI HOD) and identify improvement action.
  • Support on the review accuracy of Final Documentation.
  • Support on the compilation of native drawings and Re-As built Drawings exercise.
  • E-learning video on Brownfield Document Numbering and Guidelines.

 

Scope D (Process Improvement)

The intern will also be assigned to assist in process improvement projects that consists of the following assignments.

  • Support on Process mapping and development of process flow diagram, data gathering and analysis.
  • Support on content research and benchmarking.
  • Create content/ e-learning/ interactive media/ video/ montage on process improvement.
  • Support on the process improvement project.

 

ESSENTIAL QUALIFICATIONS AND SKILLS:

  • Bachelor’s Degree in Information Management, Office Management, Record Management, Computer Science etc. with a minimum 3.5/4 or its equivalent.
  • Proficient in Microsoft Office, (Excel, Word and PowerPoint).
  • Proficient in editing software e.g., Computer programming languages, Illustrator, Dreamweaver, Photoshop, Canva etc. Shall have the required editing software (Preferable).
  • Detail oriented and meticulous.
  • Good English communication (both written and verbal)
  • Creative in problem solving - able to propose/come out with relevant solution and taking action.
  • Discipline - time management, personal leadership, eagerness to learn.
  • Able to work under pressure and meet deadlines.
  • Proactive and self-motivated
  • Resourceful and willing to learn beyond textbooks.
  • Good team player and prepared to lead.
