JOB TITLE: Operations Coordinator
KEY RESPONSIBILITIES:
• Operations & Process Management
- Manage purchase orders, invoicing, procurement, and compliance
- Coordinate NDAs, contracts, and legal documentation
- Organise meetings, take minutes, and track action items
- Develop and maintain operational processes, checklists, and procedures
- Identify and implement process improvements
Business Development Support
- Support drafting proposals, presentations, and RFP responses
- Track proposal timelines, deadlines, and action items
- Coordinate proposal reviews, stakeholder feedback, and kick-off meetings
- Maintain proposal and commercial tracking systems
- Support operator liaison and opportunity assessment
Coordination & Systems
- Maintain training records and coordinate training logistics
- Coordinate project travel (visas, insurance, logistics) for Australia & SE Asia
- Support onboarding/induction and liaise with Finance, HR, and Commercial
- Manage Operations SharePoint and prepare dashboards/reports
ESSENTIAL QUALIFICATIONS AND SKILLS:
- 2–5 years in operations coordination, business admin, or related support roles
- Oil & gas exposure preferred but not essential
- Proposal/business development support preferred.
- Strong organisational skills, attention to detail, and ability to manage multiple priorities
- Familiarity with CRM/ERP or similar systems is preferred but not essential
- Secondary qualification or equivalent
- Certifications in business administration/office management/project coordination preferred but not essential
