Senior Advisor - HR Services
1. Scope of Responsibilities
Responsible for all site based personnel and administrative issues including employment status changes, mobilization and demobilization of personal, maintenance of timesheet records, payroll generation, processing of leave applications and other related tasks.
2. Primary Duties
Keep personal records for all employees and update as necessary.
Process visas, permits and other personnel documentation.
Conduct personnel travel arrangements efficiently.
Ensure that personnel accommodation and catering requirements are being implemented in line with project policies and requirements.
Ensure that the required daily site reports are maintained and submitted; Manpower report, travel advisory, POB, etc. Coordinate daily with camp Administration to issue the daily Camp and man-days report where records must tally with Administration records.
Ensure proper monitoring and control of personnel compliance with leave durations and cycles, travel/ transportation policies, accommodation policies, telephone communication policies and other administrative and personnel policies.
Ensure that office operations are efficiently set up and supplied with all required stationaries and office equipment.
Control time sheet recordings and that work hour’s record as forwarded to accounts are accurate.
Control proper medical support arrangements are well set up to ensure speedy and professional coverage is always available to address employees’ medical requirements.
Screen local manpower recruitment and utilize correct salary and employment condition criteria.
Coordinate with management and home office administration department for efficient deployment of new project recruits.
Ensure and monitor Employees’ probationary period notices, confirm employment confirmation appraisal forms are completed and the performance rate is entered to the system. Identify poor performers and initiate termination procedures through the relevant management approvals, coordinate with payroll for the issuance of Final settlements.
Investigate and respond to employee enquiries and grievances. Ensure that grievances are handled in accordance to established grievance policies and procedures.
Maintain good relations with officials, communities, and other governmental offices in the area where the company is operating.
Ensure that local regulations and requirements covering in-country registration, operation and employment are properly addressed in line with company’s directives.
Coordinate resolution of issues with/by government/labour departments and other authorities (Local police, immigration etc.) with respect to own manpower and own in-country operations.
Perform other duties are required by Supervisor.
