JOB TITLE: Technical Assistant
KEY RESPONSIBILITIES:
- The below is an outline of key duties and accountabilities, rather than an exclusive or exhaustive list of responsibilities. The post holder is expected to undertake any tasks which may reasonably be expected within the scope of the position.
- Coordinate onboarding and offboarding processes for all projects personnel and support the employment lifecycle alongside the HR and resourcing teams.
- Liaise with the Head of Disciplines to ensure accurate tracking of engineering competency and accuracy of the competency dashboard.
- Support projects personnel with training course identification and booking arrangements.
- Assist in preparing monthly performance packs, analysing data and running performance meetings across the client portfolio to drive continuous improvement and strategic decision making.
- Contribute to developing digital tools and workflows (PBMS) and utilise Power BI to create and maintain interactive dashboards for real-time project and resource performance insights.
- Provide holistic business support including expenses, invoice payments, filing, contact database management, arranging meetings and hospitality, travel, and other general admin tasks
- Provide technical support to project managers, engineers, and department heads as needed.
- Participate in management team meetings, capturing action items and supporting follow-up activities.
- Provide assistance to the management team in compiling and formatting presentations, reports, and other documents required for management reviews, client meetings, and bid/tender proposals
- Help coordinate logistics for management site visits, audits, and stakeholder engagements.
ESSENTIAL QUALIFICATIONS AND SKILLS:
- University degree or equivalent level preferable
- Attention to detail; efficient and highly organised; pro-active self-starter and a team player
- Excellent problem-solving skills
- Excellent interpersonal, written and verbal communication skills with the ability to communicate at all levels and between different cultures
- Ability to build relationships at all levels, internally and externally, demonstrating confidence, professionalism and respect
- Ability to prioritise workload and manage deadlines to optimise value of Management time; proven organisational and forward planning skills
- Innovative, constantly seeking to improve ways of working to increase efficiency and effectiveness
- Experienced in coping with changing requests
- Ability to maintain confidentiality in all aspects of work and handle sensitive information
- Ability to demonstrate sound, measured judgement and initiative to address sometimes complex, ad-hoc issues that interrupt routine schedules
- Positive attitude; proven ability to work well under pressure
- Fluent with Microsoft Office especially Outlook, PowerPoint, Excel, etc.
